A contract is signed, a call is logged, an invoice run finishes.
The updates nobody has time to make.
The CRM is rarely wrong because people are careless. It's wrong because updating it is someone's fourth priority. Quote to cash breaks in the gaps between sales, finance and delivery, wherever a record gets copied by hand from one system to the next.
CRM hygiene
Highest volumeMeeting notes, emails and calls hold the facts the CRM is missing. The agent reads them and proposes the update. The rep confirms it.
- Next steps, stakeholders and dates proposed from the activity record
- Duplicate accounts and contacts flagged, never merged automatically
- Stale opportunities surfaced to the owner with what changed
Order handoff
Strong fitA signed order form has to become a billing record, a provisioning request and a project. The agent reads the contract and creates each one, with every term traced to its clause.
- Contract terms extracted and pushed into the billing record
- Non-standard terms flagged to finance before the first invoice
- Handoff to delivery created with the scope as signed
Billing reconciliation
Strong fitUsage, contracts and invoices drift apart. The agent compares them every cycle and flags what was under-billed, over-billed or never billed at all.
- Invoices checked against contract terms and usage
- Discrepancies routed to the account owner with the evidence
- Credits and corrections prepared, never issued on their own
Renewal preparation
Strong fitBefore a renewal conversation, the agent assembles usage, support history, open issues and the original terms, so the account manager starts with facts.
- Renewal brief assembled ahead of the date you set
- Risk signals listed with their source
The agent proposes the update. The owner of the record confirms it.
The agent reads the contract, the notes or the usage file and finds what the other systems are missing.
The CRM update, the billing record or the correction, staged with the source attached.
The rep, the billing lead or the account manager approves. Then every system updates together.
These are not our numbers. They are the published ones.
We have not published a client result yet. Until we do, here is what the published surveys say about where revenue teams lose time and what bad data costs.
State of Sales, 2024
The Gartner figure is an average across large organisations and covers far more than the CRM, so treat it as a sign of scale. The Salesforce number is self-reported, and people tend to overestimate their admin time. Discount it generously and most of a seller's week still goes on work a system could prepare.
Which part is worth building first.
Our assessment, not a measurement. Anything that reaches a customer's invoice gets a second pair of eyes.
REPETITION
WRITTEN
SYSTEMS
A MISTAKE
We don't build anything that sets prices, approves discounts or scores reps. And an agent never sends anything to a customer in a rep's name without the rep seeing it first.
Three steps. You can stop after the first one.
We sit with whoever actually clears the exception queue and watch a normal week. Where one of our builds fits, we demo it on your own samples. You get a written assessment either way, including the case for not building anything. If a scheduled job fixes it cheaper, we tell you that and we are done.
One process, scoped and priced before we start. Built against your systems and your rules, not a demo environment. You see it running on your own data, not on ours.
Code, documentation and runbook handed to your team. No licence, no lock-in, no retainer you have to keep paying to keep it working. Keep us on if you want more built.
Build pricing is set per engagement and quoted in writing before any work starts.
Which record is always out of date?
Tell us where quote to cash gets copied by hand. We'll tell you honestly whether an agent is the right fix.
